Division 12A - Carolinas District Key Club

1.) Start by downloading the 2018 District Convention & Leadership Conference Registration Packet (available here) and the Carolinas District Key Club Registration Form (available here).  The Carolinas District Key Club Registration Form is a Microsoft Excel Spreadsheet that you will use to register your club for convention.  The registration process will take place completely online this year, and as such, it is imperative that you fill out the Excel document correctly.

2.) Find firm commitments from club members who are interested in attending and add them to your registration on the Excel document.  When you are filling out this spreadsheet, it is important that you fill out what is applicable only in the sections that are highlighted in yellow.  All other cells will be auto-calculated. You do not need to collect any funds from attendees yet.  This should be done after you submit your registration to allow for the handling of incentives (see the registration packet for details).

3.) Once you have registered everyone from your club to attend, email your registration to registration@carolinaskeyclub.org using the subject CONVENTION REGISTRATION - [SCHOOL NAME].   Early Bird registration is due on February 8th, 2018 and all other registrations are due by February 15th, however, if you meet the early bird deadline, your club will qualify for discounted prices.

4.) Begin to collect funds from each registered attendee for the price that you registered them for.  You will receive an invoice from the same email you sent your registration to, confirming your club's price of attendance as well as instructions on how to pay the amount owed.  This invoice may be paid online using PayPal or you may pay by check.  Your payment must be received no more than two weeks after you receive your invoice.  Specific details on prices are outlined below and in your registration packet.

5.) Fill out all required forms and bring them with you to District Convention; they must be handed over during check-in in order to participate in convention activities:

• Principle Certifications of Attendees if you are taking advantage of the Freshman Incentive (Page 12)

• Principle and Faculty Advisor Acknowledgement (Page 14)

• Parent and Key Club Member Release (required for each student attending, Page 16)

• Adult Release for each Advisor, Chaperone, and Adult attending (Page 18)

• Annual Achievement Form (not included in your registration packet)

• Annual Donation Form (Page 11)
